Xero - the best value for growing teams

QuickBooks and FreshBooks charge per user, which quietly doubles your bill when you add a bookkeeper or a partner; Xero does not.

The 2026 US plans are Early at $25/month (limited to 20 invoices and 5 bills a month, but with bank reconciliation and a 30-day cash flow forecast), Growing at $55/month (unlimited invoices and bills, automatic bank reconciliation, 60-day cash flow and multi-currency bank accounts), and Established at $90/month (multi-currency, project tracking, expense claims and a 180-day cash flow forecast). Until 30 September 2026 Xero runs a 90% discount for six months - roughly $2.50, $5.50 and $9 a month - which makes the paid plans unusually cheap to try properly. Hubdoc (automatic receipt and bill capture) is included, and every plan has a 30-day free trial.

The trade-offs: there is no permanent free plan, and the Early tier's invoice cap of 20 a month forces most service businesses onto Growing quickly. Xero restructured its US plans in April 2026, so older articles quoting the previous names and prices are out of date.

QuickBooks Online - the ecosystem leader, now pricier

QuickBooks Online is the most widely used small-business accounting tool in the world, and for US businesses it remains the default choice because of the ecosystem: payroll, payments, time tracking, inventory and hundreds of integrations. But it became noticeably more expensive in 2026.

Intuit raised prices for renewals on or after 1 August 2026: Essentials went from $75 to $85/month, Plus from $115 to $140/month, and Advanced from $275 to $340/month. Simple Start stays at $38/month (1 user), and the Free plan ($0, 1 user, 2 invoices and 2 receipt uploads a month) is unchanged - though with a 2-invoice cap it is more a trial than a working plan. Intuit also added a Solopreneur plan at $20/month for a single user. Plus (5 users) is where inventory and project profitability live; Advanced (25 users) adds analytics and custom reporting. Payroll is a separate add-on around $50/month plus $6.50 per employee.

The trade-offs: the per-user pricing punishes teams (a bookkeeper, a partner and an accountant push you from Simple Start toward Plus fast), and the August 2026 increase means older reviews quoting $75/$115/$275 are stale - check the checkout page, not a blog, for current numbers. Intuit usually runs a 90%-off-for-3-months promo or a 30-day trial.

Zoho Books - the strongest free plan outside North America

There is no credit card and no trial that converts. For a freelancer, a consultancy or a small trading company that has outgrown spreadsheets, this is usually enough for the first year or two.

Paid plans are priced per organisation (not per user): Standard $10/month (annual billing; $12 monthly) adds bank feeds, recurring expenses, custom reports and API access; Professional $20/month ($24 monthly) adds sales and purchase orders, multi-currency, inventory and projects; Premium $30/month ($36 monthly) adds revenue recognition, fixed assets and budgets. Additional team members cost around $11/month each.

The trade-offs: FreshBooks' official pricing page would not load reliably during our September 2026 check, so treat the ranges above as indicative and confirm the exact price at checkout. Budget past the promotions (FreshBooks regularly runs 90%-off-for-3-months offers), and remember the per-user billing: a Lite subscriber who adds a bookkeeper and payroll roughly doubles the bill.
